WHAT YOU'LL DO
As an Order & Billing Specialist, you will be responsible for B2B client management and sales support. This role is also responsible for increasing sales efficiency and effectiveness, improving business processes and deal consistency, and standardizing terms of deals while enforcing minimum contracting standards. In addition, this individual works directly with our billing department to process sales orders and returns and will include answering client calls and emails, along with identifying and proactively solving issues as needed to ensure client satisfaction and billing accuracy. This position processes orders specific to APEA. Timely response to customer inquiries is expected and may include handling any inquiries that may help facilitate prompt payments from customers and/or support customer returns.
WHERE YOU’LL WORK
This position may work a hybrid schedule from our Leawood, KS office or remote option will be equally considered within the United States.
HOW YOU’LL SPEND YOUR TIME
- Cultivate internal relationships with all levels of the sales organization.
- Responds to Customer inquiries/information needs, and provides positive, courteous service to Customer/Sales Personnel.
- Serve as the trusted adviser to Sales on specified Orders / Quote related matters.
- Work as a key primary liaison between multiple groups, such as sales, technical development staff, contracts administration, finance and OBS team members.
- Answers questions regarding products, pricing, and proof of delivery.
- Works with the appropriate internal department to support accurate processing of invoices, quotes, returns, and credit card payments when necessary.
- Collaborate with sales / contract administration / finance to identify acceptable solutions, resolve complex contract issues, and develop solutions in compliance with business practices and policies.
- Works with the shipping department to expedite or ensure timely delivery of scheduled shipments.
- Contact with internal and external clients by phone, as needed.
- Communicates pertinent customer concerns or issues to Sales Personnel.
- Works with our Enterprise Apps team to design and test both user interface and user experience (UX/UI) for new products and processes.
- Set up and maintain products and pricing for new and existing clients.
- Input daily activities and orders tracking documents including but not limited to client billings, queuing orders etc.
- Overtime during high seasonal volume may be required.
WHAT YOU’LL NEED
- High school diploma or GED required. Bachelor’s degree or equivalent preferred.
- Minimum 2 years of experience in account management, a Deal Desk function sales team, customer service, or sales support.
- Experience using CRM type applications preferred.
- Experience with Great Plains, Tableau and Microsoft office proficiency preferred.
- Experience with reporting creation and analysis
- Self-motivated, critical thinker with prior experience collaborating across Sales, Legal, and Finance
- Technical aptitude
- Proficient in Microsoft Office applications - Word, Outlook, CRM, Excel, PowerPoint
- Collaborative participation in identifying and suggesting possible resolution in system gaps and processes to better streamline efficient workflow
- Positive team player and effective communicator with all levels of management and cross-functional organizations
- Proven organizational skills and time management skills
- Strong attention to detail
- Strong verbal and written communication skills
HIRING RANGE
The current full-time annualized hiring range for this role is $38,500.00-$55,000.00. In accordance with applicable state laws, we are providing the expected salary range for this position. Individual compensation will be determined by various factors, including relevant experience, qualifications, current business needs and local market factors, and does not include discretionary bonus or sales incentives, if applicable. Most regular, full-time employees are eligible to participate in an Ascend incentive bonus or sales plan.
